Project & Revenue Operations Coordinator

Be the foundation for business operations. The Operations team is looking for a proactive, detail-oriented problem solver to join the team as a Project & Revenue Operations Coordinator. The Project & Revenue Operations Coordinator will work with the Operations team to support our day-to-day data entry and process administration needs. 

You will work closely with our VP, Operations in a fast paced environment to help ensure that our data is accurate and our workflows are moving smoothly. You will also gain first hand insight into how process keeps a business running and into the wider world of business operations.

A day in the life

  • Staff planning updates in our project management software tool
  • Support staffing new work and finding solutions for staffing needs on existing clients
  • Timesheet tracking and maintenance for our full time staff and contractors
  • Weekly and monthly data updates to our financial tracking documents 
  • Pulling & analyzing data and compiling reports weekly, monthly and as requested from the leadership team
  • Email communication and reminders to process stakeholders and managers
  • Develop relationships and work collaboratively with your team and others

The team

The Operations team is the foundation of Blue State; we work closely with all staff at a variety of levels across all five offices to keep the business grounded in what we value most - its people.  The Operations team is the bridge between Account/Project Management, Creative, and Finance teams and is responsible for resource management, and revenue management with diversity, equity, and inclusion considered at every point. The team brings together the people, the data and the work to help Blue State be a people-first business.

We approach in-office working with a hybrid model. On-site presence is welcome for US staff who are within commuting distance of the NY or DC office. Managers retain discretion to require in-person attendance for folks on their discipline or client teams as necessary, including for those whose roles require them to be in person. To enter our US offices or attend Blue State events, staff and visitors must be fully vaccinated against COVID-19, including with a booster shot when eligible. Exceptions for protected grounds will be reviewed on a case-by-case basis.

The salary range for this position is $60,000-$65,000; compensation will be commensurate with experience.

Some things we're looking for

  1. Keen attention to detail - it is important in this role that information and data is entered in and maintained precisely
  2. The ability to multitask and switch between tasks while staying organized
  3. The ability to prioritize tasks based on ebbs and flows of the week and when meetings are happening
  4. Curiosity and pro-activity, with a willingness to learn and adapt to new processes
  5. Adept at adopting a variety of ways to communicate (via Slack, Email, Zoom, etc) - and an effective communicator
  6. Proficiency with Excel or Google Sheets 
  7. Empathy, respect, and an alignment with Blue State’s values

Our Nice-to-haves:

  1. Experience with Salesforce, project management software, or similar is a plus
  2. 1-2 years of business operations or account management/project management experience in a digital agency
